Welcome to Woodcote's Wrap Around Care - Breakfast and Afterschool Club

We are very fortunate to have both a Breakfast and Afterschool Club facility at Woodcote Primary School, offering places to children from Reception through to Year 6.

Both clubs run during term time only, Monday to Friday, and are led by Mrs Mott (our Extended Schools Manager) who you will also find leading our Midday Supervisor Team during lunchtime. All staff working at the clubs are all school staff so will be familiar to the children. In line with our safeguarding procedures, all staff have up-to-date DBSs.

Breakfast Club is open from 7.30am until 8.30am.

Afterschool Club is open from the end of the school day until 6pm.

 

After School Club Collection – Updated Expectations and Actions

As you will be aware from previous communication, we are unfortunately having some issues with the late collection of children. Our staff are paid to work until 6pm and should be able to leave promptly at this time. This requires families to collect prior to 6pm end time. From after half term the following new procedures are being put in place.

  • Collection after 6pm prompt will incur a fine of £5 per 10-minute window. For example, if a child is collected at 6.12pm this would be a £10 fine. This is to cover the additional staffing costs.
  • A cause for concern for late collection will be recorded and a warning letter will be sent.
  • Repeat offenses will result in attendance at our After School Club Provision being removed for half a term/six weeks. Alternative childcare arrangements will need to be made.
  • If a child is not collected by 6.30pm then social care will be contacted.   

The office telephone line closes at 3:45pm, so if you need to contact the after-school club after this time to let them know that another person is collecting your child, or you may have an issue with collection, please ring the school number 020 8660 9972 / 020 8668 3374 Ext 210.

 

Our Clubs are run across our two halls; the KS1 (Key Stage 1) Hall, is for children from Reception to Year 2 and in the KS2 (Key Stage 2) Hall, this is for children in Years 3 to 6. On a Friday though, Afterschool Club is run in the KS1 Hall for all year groups.

Drop-off and collection for all year groups is from the front of the school at the KS1 Hall doors (behind the staff car park). For safeguarding purposes, there is always a member of staff waiting at the door to meet and greet both you and your child (all children must be accompanied by their parent/carer at these times) and we sign them in and out accordingly. We like to think that this offers the parents / carers a less stressful and calmer start / finish to the day and benefits the children too.

Our aim is to offer the children a relaxing and enjoyable start / end to their school day. They can order themselves a breakfast or at Afterschool Club, a snack, to bridge any hunger gaps. They can sit with their friends, catch-up and socialise while they eat at the table. This gives them the chance to ease into their morning at breakfast time and wind down at after-school club in a way that suits them best.

We offer age related activities in each of the halls and the children can choose how they spend their time from various activities that we set out each day. Children have an opportunity to play, engage and interact with their peers or may choose to sit in a quiet space to read. We try to vary the activities and encourage the children to share with us their interests and favourite things to do, so they have the opportunity of doing or playing with the activities they like. 

At Afterschool Club (weather permitting) we use the KS1 playground for outdoor space and provide games and equipment to initiate either child-led or adult-led activities.  If the weather is inclement, or the nights are drawing in, we open up our 'Movie Room' where the children have the option to watch a 'U' rated film.

Breakfast Club:

Toast with various toppings:  Butter, Jam, Marmite.

Choice of Cereal: Rice Krispies, Cornflakes, Weetabix, Cheerios, Shreddies; all with or without Milk.

Pancakes/Waffles with various toppings: Butter and/or Jam

Croissants with various toppings: Butter and/or Jam

Fresh Fruit bowl.

Drinks: Milk or Water

After-School Club:

Roll/muffin with various fillings:  Butter with Cheese, Tuna mayonnaise, Ham, Marmite, plain bread/roll and butter.

Crumpets with various toppings: Butter, Jam or Marmite.

Fresh Fruit bowl.

Drinks: Milk or Water.

NB: Please be aware all items may not be available everyday. 

Terms and Conditions

TERMS AND CONDITIONS

Breakfast Club is open from 7.30am until 9.00am and is based in the KS1 and KS2 halls. The price is £5.00 per child per session, and there are no sibling discounts. This price is inclusive of activities and food.

After School Club is open from 3.15pm until 6.00pm and is based in the KS1 and KS2 halls, and the KS1 playground.  The price is £10.50 per child per session, and there are no sibling discounts.  This price is inclusive of activities and snacks.

If a booking is not made for Breakfast or After School Club for your child and they attend, either through no booking made or due to late collection, you will be fined an additional £10 and will be taken directly from your ParentPay Account. If you receive three fines your child will not be able to attend the provision for 6 weeks.

If you think that you will be unable to pick your child up from After School Club before 6pm due to unforeseen circumstances, please make alternative arrangements for collection.  The office telephone line closes at 3:45pm, so if you need to contact the after school club after this time to let them know that another person is collecting your child, please ring the school number 020 8660 9972 / 020 8668 3374 Ext 210. 

Parents are responsible for making their own bookings via ParentPay and must do so at least 24 hours in advance of the club starting time.  The system locks the day down after this period and you will be unable to book.  The office staff can not make additional bookings even in exceptional circumstances.  If you child is absent from school please remember to cancel the booking via ParentPay at least 24 hours in advance if possible.  Please inform your child in the morning if they are to attend after school club.  If your child attends after school club following another teacher/instructor-led club, you will be charged for the whole session irrespective of the time they enter the after school club.  If you have made a booking and decide to collect your child from school instead you will still be charged. If you do need to make an emergency on the day booking for After School Club then you should contact the office and you will be charged £15.50 for the session. 

Payment

Payment must be made in advance on ParentPay.  At the time of making your booking you must ensure that you have sufficient credit within your breakfast/after school club account in ParentPay otherwise your booking will be automatically cancelled. 

Changes or Cancellations

Refunds are available for any changes or cancellations made if done so at least 24 hours in advance. 

Signing-in or -out

All children must be signed in or out of the provision as a signature is required as evidence of attendance and collection.

Medication

Members of staff always act in accordance wih the School's First Aid Injuries, Allergies and Medication Policy.

Members of staff are aware of the importance of administering prescribed medication to children. The school and its clubs understand that parental consent is crucial and has the following rules in place for administering medication to pupils:

  • Before any medication is given, the child’s medical records are checked to see if the medication has been approved by the parent.
  • Where possible the child is reminded to access their medication from the school office at the beginning of the Afterschool club. Once the school office is closed, Afterschool  Club staff will then have access to any medication held by the School.
  • Details of the process are recorded on the child’s Meditracker account.
  • If a child refuses to take the medication, the member of staff does not administer it. The parent is notified immediately.
  • If a certain medication requires training to administer medication, only members of staff with the relevant training will administer it.
  • If there are changes to the dosage or frequency of the medication, the changes are recorded on Meditracker. Parents are required to advise the school office of this in advance of their wraparound care booking.

Exclusion

Woodcote Breakfast/After School Club reserves the right to refuse or exclude any person at any time prior to, or during, the club if, in their opinion, that person is incompatible with the general wellbeing and safe running of the club.  In this instance no refund will be given and any costs incurred, including any damage, will be passed onto the parents/carers who will also be responsible for the collection of their child from the club.

Concerns

Should you have any concerns regarding your child’s time at Woodcote Breakfast or After School Club, please in the first instance talk with the Co-ordinator of the club, Mrs Mott.  If you are not satisfied with the action taken, please contact the school office about your concerns.  We will investigate your concerns and respond as quickly as possible.

Data and Child Collection

The personal information requested on our booking form is required to allow our employees to provide out of school care.  This information will not be divulged to persons unconnected with the after school club.  It is the parent/carer’s responsibility to update Woodcote After School Club with any changes in personal information including home address, emergency contact numbers and medical information.
